Letter Formatting

Here is some general information about how to format a business letter (in block formatting style):

  • Equal space at top and bottom of page. All text left-aligned. Single spaced.
  • Top: street address, city, state, zip, date
  • Extra space
  • Recipients’s name and title, organization, address
  • Line space
  • Salutation with a colon
  • Line space
  • No indent. Line space between paragraphs.
  • 1st paragraph – why writing.
  • 2nd paragraph – how extensive do you want me to be on comments (just the most major concerns, or every concern); mark only repeated grammar or every error.
  • 3rd paragraph – respond to peer reviews.
  • Closing – Sincerely,
  • 4 lines for signature
  • Typed senders name
